Approve the embroidery design before the stitching starts.

A name, a monogram and its placement can turn a small design change into a different finished product. An embroidery proof gives your customer a chance to review the artwork before you commit materials and production time.

Show what you need the customer to check

Prepare an image or PDF in your normal embroidery design workflow. Make the text, arrangement and intended placement easy to review, and attach the proof to the matching Shopify order item in ProofTable.

Describe the meaning of the proof in your shop's own process. A screen image communicates a design; it cannot certify thread color, fabric behavior, digitization quality or the finished stitch result. Make any separate sample or material check part of your production workflow.

Keep the decision with the design version

Send the private review link so the customer can approve or request changes from a phone. If they ask for a different name or layout, upload the revised proof rather than treating approval of the earlier artwork as permission for the change.

Download the approved version and its record for the production handoff. For an order with several personalized items, check readiness item by item; one approval should not imply that the whole order has been reviewed.

Before you finish

  • Check the spelling and personalization against the order.
  • Make layout and placement visible in the proof.
  • Keep technical stitch checks separate from customer artwork approval.

Questions before you start

Does ProofTable create embroidery files?

No. Create and digitize the design in your usual software. ProofTable handles review and approval of images or PDFs.

Can one order have different approval states?

Proofs are linked to individual order items, so the production handoff can reflect which items have been approved.
